How to set up your calendar events

Calendar

An event is a type of session parents can book with you, such as a free sleep assessment call or a paid 1:1 consultation. Here is how to create one.

  1. In the menu bar, click CRM, then Calendar. The Events tab shows all your events.
  2. Click Create new event.
  3. Choose the event type and click Confirm:
  • Individual event: one family per time slot. Perfect for sleep assessment calls, consultations and follow-ups.
  • Group event: several people per time slot. Perfect for live workshops, webinars and group classes, such as a newborn sleep class.

Event details

  • Event name: shown on your calendar, for example Free sleep assessment call.
  • Host name: your name, shown on your calendar.
  • Event duration: the length of the session, shown on your calendar.
  • Host photo: your profile picture by default. You can change it.
  • Custom logo: your logo shows in every email sent from this calendar, including the booking confirmation and reminders, instead of the default logo.

Location

Choose one or more of these options. When you offer more than one, parents pick the one they prefer.

  • Online meeting: choose Zoom or Google Meet (coming soon), or paste your own meeting link, then click Save. Connect Zoom or Google Meet first, see How to integrate Zoom with SleepPRO™ and How to integrate Google Meet with SleepPRO™. For a group event, set the maximum number of participants. Keep it within the limit of your meeting tool.
  • Phone: enter your phone number.
  • In person: enter the address and a phone number.

Description

Add a short description parents see on your booking page. Use the menu at the top of the text box to format it. A good description tells parents what to have ready, for example their child's age and current bedtime.

Google Calendar (coming soon)

Turn this on to add every booking to your Google Calendar. Pick the calendar from the dropdown if you use more than one.

  • For individual events, the title shows the event name and the parent's full name, for example Free sleep assessment call – Sarah Jones.
  • For group events, the title shows the event name and the number of people booked, for example Newborn sleep class – 4 participants.

If the event runs on Zoom, the Zoom link is added to the Google Calendar event.

This option only appears once Google Calendar is connected. See How to integrate Google Calendar with SleepPRO™.
Parents see the email address of the Google Calendar you select as the host email. Without a Google connection, they see your SleepPRO™ account email.

Availability for this event

Choose how far ahead parents can book:

  • Indefinitely into the future: no end date. Ideal for ongoing calls.
  • Days into the future: for example 30, 60 or 90 days from today. This updates itself every day.
  • Within a date range: pick a start and an end date.

Then set:

  • Minimum notice period: how far in advance parents must book. For example, 2 hours.
  • Cancellation deadline: how close to the start parents can still cancel. 0 hours allows cancelling up to the start, 24 hours prevents last-minute cancellations.
  • Available hours: set hours for this event, or turn on Use global availability. Set up your Availability tab first if you want to use global availability.
  • Weekly availability: time slots for each day, with more than one slot per day if you like.
  • Date-specific availability: click + Add a new date, then the calendar icon, to open extra dates and times.

Advanced settings

  • Start time increments: how often time slots start, for example every 15 minutes.
  • Daily limit: the maximum number of bookings per day.
  • Buffer time: time before or after each booking, so you have a breather between calls.
  • Time zone display: show times in your time zone or the parent's. Helpful when you work with families abroad.

Email reminders

Every new event comes with two reminders: 24 hours and 1 hour before the start. You can change them:

  • Choose the timing in days, hours or minutes from the dropdown.
  • Click + Add a new reminder to add one.
  • Click Remove to delete one. Remove them all if you prefer no reminders.
You can set up to 3 reminders per event, and none closer than 10 minutes before the start.
You choose when reminders go out. The text of the reminder emails is created automatically and cannot be edited.
When you duplicate an event, its reminder settings come along.

Next step: add your calendar to a page. See How to offer free calendar bookings or How to sell your calendar bookings.
