How to create workflows in SleepPRO™

Workflow

Workflows are visual automations with several steps, waits and decisions. For example: a parent downloads your free guide, gets your welcome sequence, and a week later receives a different sequence depending on whether they booked a sleep assessment call.

You will need something to automate, such as an opt-in page, tags or a course.

1. Create a workflow

  1. Go to the Automations tab and click Workflows.
  2. Click + Create at the top right.
  3. Name your workflow and click Save.

2. Find your way around

The workflow opens on a visual canvas.

  • Use the controls at the bottom left to zoom in and out, reset to 100% or fit the whole workflow on screen.
  • Click and drag the background to move around.

3. Add a trigger

The trigger is what starts the workflow. Click + Add a trigger and search or browse:

  • Contact: tag added, tag removed.
  • Forms: funnel form subscribed, blog page form subscribed, website form subscribed, creator store form subscribed.
  • Courses: enrolled in course, course completed, module completed, lecture completed, enrolled in course bundle.
  • Sales: new sale, sale canceled (a canceled subscription or refunded payment), subscription payment failed.
  • Email: email opened, email link clicked, email completed (finished a campaign).
  • Events: meeting scheduled (booked through your calendar), registered to webinar.
  • Community: enrolled in community.
  • Tracking: page visited.

Choose the specific item, such as the tag or funnel step, and click Create.

Workflows only react to events after they are activated. They do not apply to parents who met the trigger before.
You can add several triggers.
The Email link clicked trigger waits 1 minute after the first click before it can run again, so double clicks or email providers' security checks do not run it twice.

4. Add steps

Click the + icon after your trigger and choose a step type:

Action, something done for the contact:

  • Send an email, or send an email to a specific address.
  • Subscribe to or unsubscribe from a campaign.
  • Send an SMS.
  • Add or remove a tag.
  • Add to a pipeline stage.
  • Enroll in or remove access to a course or course bundle.
  • Give or remove access to a community.
  • Send a webhook.
  • Add a row to a Google Sheet (coming soon).

Decision, which splits the workflow into Yes and No paths, based on contact fields, tags, email activity, sign-up dates, contact state or activity. Combine rules with + Add a condition or + Add another group of conditions.

Delay, a pause before the next step, in minutes, hours or days, or until an exact date and time. With an exact date, choose the time zone. Your account's time zone is selected by default, and your choice only applies to this step.

5. An example

You sell a 2-week sleep package (offer 1) and a follow-up support package (offer 2). Campaign 1 promotes offer 1, campaign 2 promotes offer 2. An automation rule gives every offer 1 buyer the tag Client 1.

The goal: when a parent signs up, send campaign 1. After 7 days, check whether they bought offer 1. If yes, stop campaign 1 and start campaign 2. If no, campaign 1 continues.

  1. Trigger: Funnel form subscribed, with your opt-in page. Under Details, choose whether it applies to the standard input fields (Field) or a Form element on your page.
  2. Action: Subscribe to campaign, campaign 1.
  3. Delay: 7 days.
  4. Decision: Tag, then Contact tagged with, then Client 1.
  5. On the Yes path: Unsubscribe from campaign (campaign 1), then Subscribe to campaign (campaign 2).

Changing a delay only affects parents who reach it afterwards. Parents already waiting finish their original delay.

6. Manage your workflows

Activate: workflows start inactive. In your list, click the three dots next to the workflow and choose Activate.

Deactivate: click the three dots and choose Deactivate, then:

  • Deactivate workflow: no new contacts enter, and contacts already inside carry on.
  • Deactivate workflow and cancel related scheduled tasks: nothing scheduled runs for anyone.

Share: click the three dots and choose Share, then copy the link. When the other person opens it, the workflow imports into their account, with a progress notification they can cancel. A final message confirms the import.

Most parts of a workflow can be shared. These are left out: the Blog page form subscribed and Creator store form subscribed triggers, and the Add a new row to a Google Sheet and Send webhook actions.

7. Good to know

  • Workflow history is kept for one month. Older tasks are removed, so a task older than a month will not show on a contact's profile.
  • Dates and times follow the format and time zone in your main account settings.
